We have confirmed the main hall for the November congress. Capacity 520 seats, tested acoustics and silent ventilation system. We will sign the contract with the audio-video equipment supplier next week.
Concrete feedback from clients who collaborated with us on corporate conferences and congresses.
Every event has its own particularities, and the final result depends on how well the logistical details are managed. Here are some opinions from the teams that entrusted us with the organization.
We needed a complex audio-video setup for 3 simultaneous rooms. The equipment was tested the day before, and during the event there was not a single moment of interruption. The flow between rooms was perfectly synchronized.
Eng. Vanesa Costache — Event CoordinatorThe live streaming part was the biggest challenge, especially since we had speakers from 3 time zones. The team managed to integrate online questions without delay, and remote participants felt just as engaged as those in the room.
Teohari Patrascu — Project ManagerThe catering was a surprising element: the dishes were served quickly, without queues, and the options for dietary restrictions were clear and well-marked. Participants particularly appreciated the coffee breaks organized in separate networking areas.
Marketing Department — IT CompanyThe main stage was set up exactly as we requested, with LED screens and a directional sound system. The speakers did not need to approach the microphone, and visibility was excellent from every corner of the room. An added bonus was the permanent technical support throughout the entire day.
Communications Department — Professional AssociationSpecifications that eliminate ambiguities and establish clear boundaries for our conference and corporate event organization services.
By "full organization" we mean the logistical coordination of spaces, rental and setup of audio-video equipment, management of catering services, and stage arrangement for speakers. We do not include legal, financial, or human resources consulting services, nor the organization of sports or political events.
Audio-video equipment (PTZ cameras, microphones, streaming systems, screens) is billed based on a daily rate per set, with a separate fee for transport and on-site technical assistance. Costs do not include software licenses for live streaming platforms, which are the client's responsibility.
Catering orders can be canceled without penalties at least 7 business days before the event. In case of cancellation with less than 48 hours' notice, 50% of the total value of the confirmed menu will be invoiced. We do not offer refunds for unconsumed quantities on the day of the event.
Technical assistance includes a sound engineer and a video operator present throughout the event, from setup to teardown. It covers troubleshooting of our own equipment, light and sound adjustments, as well as support for the connection to the streaming platform. It does not include repairing equipment damaged due to the fault of the participant or organizer.
