What does the audio-video equipment rental service include?

We offer complete equipment packages: PTZ cameras, lavalier and headset microphones, sound systems, LED screens, projectors, and mixers. Each package is configured based on the room size and number of speakers. Technical support is available throughout the event.

How is the coordination of catering services ensured?

We collaborate with local catering partners who offer varied menus, including vegetarian, gluten-free, and other dietary restriction options. We handle the service flow, buffet setup, and synchronization of breaks with the conference schedule, ensuring participants have enough time for networking.

What does the stage setup for speakers involve?

We design and assemble the stage according to the event format: individual presentations, panels, or keynote speeches. We provide customizable backdrops, podiums, adjustable lighting, and presentation display systems. Every detail is checked before the conference begins.

How do you manage the technical side of a hybrid conference?

For hybrid events, we install multiple cameras for various angles, room microphones, and low-latency streaming systems. We test the internet connection and live streaming platform at least 48 hours in advance. Online participants can ask questions in real-time, and the moderator relays them on stage.

What are the three essential logistical elements for a successful hybrid conference?

The first element is redundant technical infrastructure: backup cables, uninterruptible power supplies, and backup audio-video equipment. The second is rigorous synchronization of flows: coffee breaks, Q&A sessions, and transitions between speakers must be identical for both the physical and online audience. The third is pre-testing all systems, including the streaming platform and sound, at least one day before the event.

What do you do in case of a technical failure during the event?

We have a permanent technical team in the room, ready to intervene within a maximum of 2 minutes. All critical equipment has functional duplicates, and backup cables are already connected. In case of an internet outage, the streaming system automatically switches to a backup 4G connection.
